Deloitte
For Deloitte, we provided resource planning for their Cyber Risk division. This division consists of six teams with different specializations and consists of approximately 300 employees. For these teams, we set up a resource planning department and managed resource management. We clearly showed where employees had room to take on new assignments or to follow training courses.
Our goal was to provide a forecast that was at least 95% accurate for the next three months. This enabled managers to take into account the available capacity during sales. Also, based on this data, the recruitment department could be timely informed about which levels and skills they lacked. Furthermore, we also provided updates to stakeholders. Through weekly reports, we provided them with clear visual information and the current situation in relation to the targets to be achieved.
We can proudly say that we have contributed to a very noticeable increase in efficiency and revenue. We also increased cooperation between branches in Europe by setting up an international process that makes it easier to exchange resources.
The Municipality of Rotterdam
For the municipality of Rotterdam, we set up the resource and capacity planning for their Engineering Department. For the last 10 years, they have had the question; “How can we create a complete resource and capacity planning of the entire department?”. Given that the department consists of almost 900 employees, it is understandable that this was not an easy task to solve (without purchasing an external software package). Thanks to JSPM’s expertise, the issue has been resolved with software that was already being used within the organization.
For all employees, we believe that visibility and transparency are key to efficient work and employee productivity. To that end, we have created an interactive dashboard that lets team leaders and managers see each employee’s availability on a weekly or monthly basis. This way, they can always stay up-to-date on who is available for what projects, and for how long. Additionally, the dashboard allows for filtering by team leader, project, or function – making it easy to find the information you need.
Employees play an important role in the resource planning process. In order to safeguard data quality, we need the help of employees. It is the responsibility of employees to ensure that their availability is updated correct and regularly. When they do not share their availability, the quality and reliability of the dashboard will decrease. We have solved this by setting up a process that is foolproof. By creating a single point of contact and assigning clear roles to all involved parties, steering information is guaranteed. Furthermore, we constantly share results that create more support, even among those who are further from the process.
